What Happens to Support Data When Canceling Freshdesk

When you decide to leave Freshdesk, the fate of your tickets, customer profiles, and conversation history becomes a practical concern. The platform does not instantly wipe everything; instead it follows a defined process that you can influence with a few actions.

Exporting your data

Freshdesk lets you download most of your data before the account is closed. Typical exports include:

  • Ticket lists with status, priority, timestamps, tags, and custom fields
  • Contact and company records, including notes and interaction history
  • Knowledge‑base articles if you used that feature
  • Reports generated from the analytics dashboard
  • Attachments linked to tickets (these are bundled in the export package)

Exports are delivered as CSV or JSON files, depending on the section. You initiate them from the admin settings under “Data Export.” For programmatic access you can also use the REST API to pull tickets, contacts, and conversations in batches. Large accounts may need to request a full backup from support, which can take a few business days to prepare.

Retention and deletion

After cancellation, Freshdesk retains data for a limited period to allow recovery if you change your mind. During this window you can still log in with read‑only access and run additional exports. Once the retention period ends, the deletion job runs and tickets, attachments, and user profiles are removed from Freshdesk’s servers. The exact length of the retention window varies by plan, so check the current terms in your account settings.

Compliance considerations

If your business falls under GDPR, CCPA, or similar regulations, verify that the export covers all personal data you store in Freshdesk. The platform’s data‑processing addendum outlines the responsibilities of both parties. Keep a copy of the export receipt and the deletion confirmation for audit trails. If you use custom fields that contain sensitive information, confirm they are included in the export before you finalize cancellation.

Planning a smooth transition

  1. Schedule the export at least a week before the intended cancellation date.
  2. Open the CSV or JSON files and confirm that columns, attachments, and custom fields appear as expected.
  3. Import the data into your next helpdesk — many tools accept CSV or JSON ticket imports.
  4. Update any automated workflows, webhooks, or integrations that reference Freshdesk ticket IDs.
  5. Communicate the change to your team, provide a short guide for the new system, and run a pilot with a few agents before the full cutover.
  6. After the switch, monitor the new helpdesk for a few days to ensure no data gaps remain.
