Troubleshooting Missing Ticket Status Updates After Migration

After a help desk migration you may notice that ticket status changes no longer appear in the new system. The tickets themselves are there, but the status field stays stuck on the value it had at import time. This symptom usually points to a mismatch between the old and new status models, missing automation, or a sync configuration that did not carry over. For a broader look at migration‑related ticket loss, see Tickets Missing After Help Desk Migration? Causes & Fixes.

1. Status field mapping mismatch

The most common cause is that the source system’s status values do not map one‑to‑one with the target system’s status list.

Confirm status mapping

  • Open a migrated ticket in the new help desk and note the exact status label.
  • Compare that label with the status options available in the new system’s settings.
  • Check the migration log or import report for any “unmapped status” warnings.

Fix status mapping

  • In the new help desk, create any missing status values that existed in the old system.
  • Use the status‑mapping tool (often found under Settings → Ticket Fields → Status) to link each legacy value to the correct new value.
  • Re‑run a test import for a small batch of tickets to verify the mapping works.
  • For guidance on building a custom status workflow, see How to Customize Your Ticket Status Workflow.

2. Automation rules not carried over

Many help desks rely on automation (triggers, macros, workflows) to move tickets between statuses. Those rules are not always exported with the ticket data.

Confirm automation rules

  • Review the automation library in the new system; look for rules that change status on events such as “agent replies” or “customer responds”.
  • Trigger a test event (reply to a ticket) and watch whether the status updates.
  • If the status stays unchanged, the rule is missing or disabled.

Fix automation rules

  • Re‑create the essential status‑change rules in the new system.
  • Prioritize rules that move tickets from “Open” to “Pending” on agent reply and back to “Open” on customer reply.
  • Enable each rule and run a quick test on a sandbox ticket.
  • For a checklist of common automation pitfalls when moving from LiveAgent, refer to Troubleshooting Common LiveAgent Migration Pitfalls.

3. API or webhook configuration issues

If your team uses custom scripts or third‑party integrations to update ticket status via API, the endpoint URLs, authentication tokens, or payload formats may have changed after migration.

Confirm API configuration

  • Check the integration logs for HTTP error codes (401, 404, 422) when a status update is attempted.
  • Verify that the API base URL matches the new help desk’s domain.
  • Ensure the API key or OAuth token has the “ticket:write” scope.

Fix API configuration

  • Update the integration’s base URL and credentials.
  • Adjust the JSON payload to match the new system’s status field name (often status_id or status_name).
  • Run a manual API call (e.g., via curl or Postman) to confirm a status change succeeds.

4. User permission or role changes

Status transitions can be restricted by role‑based permissions. After migration, agents may belong to a role that lacks the “change ticket status” right.

Confirm permissions

  • Log in as an affected agent and attempt to change a ticket’s status manually.
  • If the status dropdown is disabled or missing, the role lacks permission.
  • Review the role settings in the admin panel for the “Edit ticket status” checkbox.

Fix permissions

  • Edit the agent role to grant the missing permission.
  • Apply the change to all relevant roles, then ask agents to refresh their session.
  • Test a status change again.

5. Data sync timing or caching

Some cloud help desks cache ticket views for performance. A status change made via API or automation may not appear immediately in the UI.

Confirm sync timing

  • Wait a few minutes after a known status change, then refresh the ticket list.
  • Open the ticket directly via its URL; the detail view often bypasses the list cache.
  • Check the audit log (if available) for a timestamped status change entry.

Fix sync timing

  • Clear the browser cache or use an incognito window.
  • If the platform offers a “force refresh” button in the ticket list, use it.
  • For persistent delays, contact the vendor’s support to verify background sync health.

What to do if nothing worked

  1. Export a small set of tickets with their current status from the new system.
  2. Compare the exported status values with the source system’s final statuses.
  3. Open a support ticket with the new help desk vendor, providing the export, migration logs, and a description of the steps you have already tried.
  4. While waiting, consider a temporary manual workflow: agents update a custom “migration status” tag so the team can track progress.
